COORDINATOR, PLAYER RELATIONS - ATP TOUR, INC. (Ponte Vedra Beach, Fl)
The ATP Player Relations Coordinator functions as a member of the Player Relations Department, working on a variety of projects and tasks within the Department with a focus on acceptance lists, tournament information, member benefits, player development, charities, event planning and Medical Services tasks. This position reports to the Director –Player Relations (offsite) and the VP, Player Relations and is based at the International Headquarters in Ponte Vedra Beach, Florida.
Acceptance Lists (Singles & Doubles)
Assist with the collection of player entries and withdrawals for ATP World Tour and ATP Challenger Tour events worldwide
Process, verify, and distribute the doubles acceptance lists for all events
Process the automatic singles entries for ATP 1000s and Grand Slams as needed
In collaboration with other Player Relations Managers and Coordinators, communicate with players and supervisors regarding acceptance list changes:
1. Contact players as they get into the main draw of a tournament
2. Confirm participation and relay information to Tour Managers, Supervisors and Tournament Directors.
Collaborate with tournaments to find improvements to the entries process
Review, edit and assist with detail sheets for all ATP Challenger Tour events and ATP World Tour events from the Americas and International regions
Post detail sheets as needed to CentreCourt (ATP intranet)
Create and distribute visa/invitation letters for players, coaches and family members and assist players with their visa applications
Supply information to up and coming players on how to get started in men's professional tennis (eg. update annual “How to get Started in Men’s Professional Tennis” text for ATPworldtour.com and brochures)
Assist with the logistics and distribution of identification cards for staff, player members, coaches members, alumni members, and agents
Distribute player mail in a timely fashion
Field calls and emails from the general public regarding upcoming events, players on the Tour, and rules
Organize shipments for US-based tour managers as needed (i.e. hats)
FAQ - Help collect FAQs from most recurrent questions from players
Serve as liaison for designated player member benefits and programs
Place orders, maintain program logs and details, ensure distribution where applicable
In collaboration with the Coordinator of Player Communications, produce and maintain the ATP Player Member Handbook and Alumni Benefits Brochure and lists
Inform Player Relations Communications Coordinator of any changes to player benefits so that the changes are effectively communicated to players and updated in the different communication channel
Connect and build relationships with the Tournament Relations Department to make sure information related to the players is effectively communicated
Assist ATP tournament members and Challenger events with sending important reminders (i.e. hospitality, special activities)
Events and Charities
Assist with the planning and logistics of departmental, council, and player meetings
Collaborate in the ATP Aces for Charity program
In collaboration with the Director of Human Resources, serve as the point of contact for the MaliVai Washington Youth Foundation
Process all requests from charities requesting autographed items for silent auctions/fund raisers and maintain charity files.
Serve as the office contact for Medical Services team
Responsible for reviewing and submitting for payment and reimbursement of all bills and invoices for the Medical Services department
Assist with producing flyers and newsletters during the year for the Directors, Medical Services
Manage and organize distribution of supplies to all ATP Physiotherapists and the Directors, Medical Services.
Support the VP, Medical Services in hosting the ATP Medical Services Conference when such conference takes place
Help VP, Player Relations and VP, Medical Services develop and monitor the Medical Services at Challenger events program
In collaboration with the Coordinator of Player Communications, assist Medical Services Department with communication to players, including mandatory physicals and follow ups with players who have been out of the tour for an extended period of time.
Required Skills and Attributes:
Bachelor's Degree preferably in Communications, Public Relations, Marketing or Management.
Strong communication and organizational skills with attention to detail.
Ability to work efficiently under pressure.
Excellent interpersonal skills with ability to work with others particularly across different cultures.
Ability to think creatively and formulate new ideas.
Team-spirit, ability to work within a team environment
Pro-active and constructive mind-set
General tennis knowledge
Bilingual is preferred
Proficiency in Windows, Excel, Power Point, Word, Photoshop.
