2015 Ticket Office - Extended Summer Internship - Western & Southern Open (Mason, OH)

Description:

Rare internship opportunity to assist in running one of the world’s premier tennis events.  Each intern is given enormous responsibility which offers great preparation and experience for future endeavors.  This internship offers a more in depth experience and advanced techniques utilizing the Ticketmaster/Archtics software, used by most professional sports organizations across the country.

 Location: Tournament site in Mason, Ohio.

5460 Courseview Dr., Mason, OH 45040

 Dates:

 Interns will be asked to work for four weeks prior to the tournament week as well as the week of the tournament.  For the second year, this event will be a combined event (Women & Men).

Pre-tournament dates:  July 16-August 14; Tournament dates – August 15-23, 2015

 Qualifications and Responsibilities:           

  • Willingness, with a smile, to do whatever it takes to run the very best tournaments possible. 
  • Interns will be trained on Ticketmaster/Archtics software (utilized in many sports venues across the country) and will be responsible for all aspects of tournament patron relations, including accepting and processing patron ticket orders via phone or via online ticket order system, handling more advanced skills utilizing the ticketing software, troubleshooting patron questions and offering solutions, assistance in training interns who will be working during tournament week to handle ticket office window sales and Will Call operations, working special ticketed events for series holders (Draw Party and Finals Brunch) and the like. 
  • The ability to communicate via phone and in person in a professional manner 
  • Attention to detail, accuracy in preparing patron accounts and finalizing purchases
  • Basic computer skills
  • Basic accounting skills in understanding balancing ticket sales/income

Normal Hours:

Pre-tournament, hours are approximately 8am-6pm, with two weeks prior to the tournament 8am-7pm (shifts may be scheduled).

During the tournament, the ticket office is open from 8am-10pm each day; with a future sales window inside the gates being open from noon-evening match conclusion (approximately 11pm).  

Dress:

The tournament will provide a tournament logo shirt and cap.  Interns must provide their own khaki shorts, skirt or slacks to compliment the uniform.  Parking in a private lot also included.

Position:
Facilities and Operations Intern for On-Court Supervision

Position Overview:
This position will act as the on-court liaison between Chair Umpires and the Facilities Office. Responsible for handling all on court issues and ensuring that each individual court is stocked and prepared in accordance with tournament guidelines.

Position Objectives:
To provide outstanding service and tournament facilities for our fans, players, officials, contractors, exhibitors, vendors, sponsors, volunteers and staff.

Position Timeline:
Internship will begin on July 20th and run through August 23rd. Start and end dates can be extended slightly to satisfy additional academic requirements. Interns must be able to work all days during internship unless approval is granted prior to acceptance of the offer.

Working Hours:
Prior to the tournament the workday will generally begin at 9am and end at 5pm. This position is task driven and occasional projects may require extended hours to conclude. During the tournament a schedule will be developed based on availability to ensure that the courts are properly staffed from 7am until the end of play and court washing into the early morning.

Team:
This position will be part of a team consisting of 30-35 interns staffing all the courts. This group will report to one of three full time interns overseeing all courts and matchplay.

Pre-Tournament Duties:

Position:
Facilities and Operations Intern for Tournament Logistics.

Position Overview:
This position is responsible for preparing the logistics of all items shipped to the site for the tournaments and providing support for vendors, exhibitors and food court restaurants.

Position Objectives:
To provide outstanding service and tournament facilities for our fans, players, contractors, exhibitors, vendors, sponsors, volunteers and staff.

Position Timeline:
Internship will begin on July 20th and run through August 23rd. Start and end dates can be extended slightly to satisfy additional academic requirements. Interns must be able to work all days during internship unless approval is granted prior to acceptance of the offer.

Pre-Tournament Duties:
• Assist in the shipping and receiving process.
• Inventory all storerooms and organize accordingly
• Prepare storerooms for deliveries. Sweep, clean, design and label layout of room• Move items to proper storage locations
• Ensure that storage rooms are always kept locked and secure
• Create working relationship with UPS and FEDEX.
• Exchange contact info with regular drivers
• Record all items received.
• Physically count all boxes in each shipment and cross check that with shipping documents
• Write physical number of boxes received next to signature when signing for deliveries
• Keep accurate records of what we received, who it was shipped to and where it was stored.
• Pre-plan the delivery of items we have received.
• Check with management weekly for updates of incoming shipments
• Assist in the controlling of all rental equipment.

Position Overview:
This position will tend to the overall security needs of all tennis players on site. Responsibilities include escorting players to/from their assigned courts, crowd control, Player Center access control, and contributing to the wellbeing of players at the Lindner Family Tennis Center.

Position Objectives:
To provide outstanding service and tournament facilities for our fans, players, officials, contractors, exhibitors, vendors, sponsors, volunteers and staff.

Position Timeline:
Internship will begin on August 3rd and run through August 23rd. Start and end dates can be extended to satisfy additional academic requirements. Interns must be able to work all days during internship unless approval is granted prior to acceptance of the offer.

Working Hours:

• Work closely with tent supplier, Sponsor Hospitality Chair Persons, food caterer, electricians, air conditioning provider, audio/visual provider, etc. to ensure that all events operate seamlessly.
• Anticipate event needs and schedule accordingly.
• Set-up and test all AV equipment as needed for hospitalities and special events.
• Work with Logistics intern to stock hospitality tents with sponsor products and programs as needed.
• Report to Grounds and Communication full time Intern for daily instructions
• Monitor temperatures inside tents and make changes as needed.
• Participate in completing checklists for player security and public space interns
• Support coworkers in the cleaning of match courts each night.
• Participate in group projects as directed by Management.
• Assist volunteers and chairpersons in preparing their areas for the tournaments.
• Document the tent set-up for all special events and sponsor functions
• Take pictures of final set-ups
• Red-line Party CAD drawings to indicate changes and additions
• Photograph assigned areas for documentation purposes.
• Assist in the completion of quality control surveys.
• Complete a final report outlining the specifics of your duties and any support documents.
• Make recommendations to improve the position and the tournament from year to year.

This is an unpaid internship designed for course credit and/or to build experience for candidates as they assist in assembling one of the finest tennis events in the world. Reimbursement for travel or other funding is not available.
